Responsibilities

Purpose of the Job:

  • Provide HR & Admin functions, including recruitment, induction program, employee engagement, performance appraisal, payroll, time attendance, staff benefits, and administration support services.
  • To provide first-hand information to Managers, Superiors, Admin Support Staff and most important to be a role model to enhance the smooth running of HR & Admin Functions within Alzayani Investments and the Division policies and procedures.
  • Ensure that an acceptable standard of Quality Management System is maintained in accordance with recognized working practice and company’s Quality Manual and Policy.

Duties & Responsibilities:

  • Sending mails through HRAD email address when required.
  • Generate telephone bills landline/mobile on monthly basis, prepare the summary and process the payment.
  • Follow up & coordinate GHRM regular appointments and tasks including approvals, signatures, leave applications etc.
  • Attending telephone calls and directing them to the concerned department.
  • Updating contact lists time to time.
  • Receiving walk in job seekers in an appropriate manner.
  • Arranging all joining formalities for new joiners as per the Employment Check List.
  • Preparing & arranging of all Administration correspondence, increment, promotion, warning, termination, service certificate, salary certificate, salary transfer, housing loan, etc. in line with company policy.
  • Input employee information into the system, Time Attendance System & update as and when required.
  • Following up and coordinating for all Administration Support Services pertaining to Ministry of Labor, Immigration, CPR, Embassies etc.
  • Controlling all HR files, personnel files & share folders, ensuring they are maintained and updated regularly.
  • Keeping track of probation assessment of all the new employees recruited and sends reminders to Department Line Manager/ MD & GHRM (two (2) weeks), prior expiry of the probationary period and preparing confirmation of appointment for concerned approval.
  • Ensuring that all new employees go through a proper induction program prior to commencing required duties & responsibilities with a power point orientation demonstrating basic rules and regulations, highlighting important issues per Employee Handbook & Code of Conduct.
  • Assist in preparing the attendance report and take the disciplinary actions in line with AZI Group policy and Bahrain Labor Law.
  • Preparing memorandums to the Finance Department for payments related to the employee’s benefits, expenses, payroll & deductions and final settlement.
  • Assisting in preparing monthly payroll in coordination with payroll & benefit department.
  • Ensuring that staff deductions due to disciplinary action, bank transfers, telephone deductions, company loans etc. are affected in the appropriate monthly salaries.
  • Preparing the settling allowance for new joiners.
  • Carrying out placement procedures as per Company policy.
  • Ensuring to prepare all the Exit formalities for the resigned/terminated employees including (Handover, Clearance form, Exit Interview, Final settlement, Bank Letter etc.) in line with Company Policy.
  • Creating surveys to measure employee satisfaction and morale and distributing them to employees through various channels such as email, phone call prompts, or paper surveys.
  • Reviewing survey results and helping management create action plans based on their findings.
  • Evaluating the company’s culture and climate to determine if any changes need to be made in order to improve employee satisfaction.
  • Helping managers develop plans to improve employee engagement through one-on-one meetings with employees, focus groups, workshops, or other methods.
  • Coordinate with training team to provide training to employees on topics such as conflict resolution skills, time management techniques, and stress reduction techniques etc.
  • Determining best ways to engage employees, such as through contests or recognition programs.
  • Supporting & assisting the Government Clearance in arranging visit visas for employees relative or visitors within the company.
  • Supporting & assisting the Government Clearance in carrying out renewal of work visas (resident permits) and CPR/ Smart Cards on a timely basis.
  • Assisting in other HR related tasks when required.
  • To perform all other related jobs as assigned by the Management from time to time.

Work Experience: Min. 1 year of relevant experience. Qualifications: Bachelor's degree in HR, Business Administration, or a related field. HR certifications (CIPD or SHRM) Skills:

  • Strong communication and presentation skills and abilities to interact with all levels of management & employees.
