Job Description

The Farm Auditor is responsible for conducting thorough audits of farm inventory, including livestock, crops, feeds, and equipment, ensuring accuracy and compliance with internal controls. This role involves verifying stock levels, assessing quality, monitoring cash transactions, and identifying discrepancies. The Farm Auditor supports farm operations by maintaining detailed records, reporting findings, and collaborating with staff to address issues and enhance overall efficiency.

Responsibilities
Stock Checks:

  • Counter-check the weighment of daily harvests of fruits and vegetables.
  • Conduct stock checks of milk production and storage.
  • Perform physical verification of livestock, including cows, sheep, goats, chickens and eggs
  • Check stock of animal feeds, vegetable seeds and saplings
  • Perform physical verification of all farm assets including equipment, instruments, furniture and appliances.
  • Verify inventory levels against records and reconcile any discrepancies.

Stock Monitoring:

  • Verify all incoming and outgoing materials with proper documentation and approval.
  • Track stock movements, including receipts, usage (consumption and dispatches), expiry, and disposals.
  • Monitor the condition and shelf life of stock, including animal feeds, seeds, and harvested produce and report any issues, such as spoilage or damage.
  • Ensure that all inventory data is accurately recorded in the farm’s inventory management system.

Quality Control:

  • Inspect stock for quality and safety, including checking for signs of spoilage or damage.
  • Report any quality issues to the appropriate personnel and recommend corrective actions.

Data Analysis:

  • Analyze inventory and other data to support management decisions.
  • Trend analysis
  • Provide insights and recommendations based on inventory analysis to improve efficiency in operations.

Cash Management:

    • Verify cash vouchers for authorized payments, ensuring they are properly documented and approved.
    • Ensure that all cash vouchers are supported by appropriate receipts and invoices.
    • Ensure secure handling and storage of cash on the farm premises.
    • Checking of cash register maintained by the cashier for accuracy
    • Monitor advances paid to staff and vendors, ensuring they are recorded accurately.
    • Track the timely settlement of advances, following up with staff and vendors as necessary.
    • Conduct regular physical verification of cash to ensure it matches recorded amounts.
    • Perform surprise cash counts to detect and prevent any discrepancies or mismanagement.

Reporting:

  • Prepare and maintain accurate records of stock checks and physical verifications
  • Prepare summaries of cash verifications done
  • Maintain adequate documentation at the farm for audits and compliance purposes.
  • Generate and submit periodic reports to the Group Internal Audit.

Farm Operations controls and compliance:

  • Work closely with farm staff to address any issues observed in audit and ensure discrepancies are properly reported and addressed.
  • Ensure compliance with internal policies and procedures
  • Implement and maintain effective internal controls to safeguard assets
  • Checking of periodical returns, if any, submitted to Government authorities
  • Report any irregularities or breaches of management policies or government regulations

Desired Candidate Profile

Educational Qualifications and Experience:

  • Bachelor’s degree / Diploma in Agriculture. / vocational training in agriculture
  • Previous experience in inventory management, or a related field within agriculture.
  • Knowledge of agricultural practices and inventory management.
  • Strong attention to detail and accuracy.
  • Basic proficiency in using IT software and tools.
  • Good communication skills and the ability to work independently and effectively with farm staff.
