Job Description
We are seeking a highly professional Executive Secretary with a strong legal background and qualifications to provide comprehensive support to the Board of Directors. The ideal candidate will be bilingual, detail-oriented, and have 3-5 years of relevant experience. This role requires managing board meetings, preparing and maintaining records, and ensuring compliance with corporate governance practices.
Responsibilities
Board Support and Coordination:
- Schedule, organize, and coordinate board meetings, committee meetings, and other official gatherings.
- Prepare agendas, meeting materials, and presentations in collaboration with board members and stakeholders.
- Attend meetings and take accurate minutes, ensuring all action items and decisions are documented appropriately.
Corporate Governance:
- Ensure compliance with company bylaws, corporate governance regulations, and relevant legal requirements.
- Draft, review, and process board resolutions, including providing advice on legal and procedural matters related to their execution.
- Maintain and update the company's corporate records, including minutes, resolutions, policies, and other legal documents.
- Communication and Documentation
- Serve as a point of contact for board-related communications, ensuring timely and effective dissemination of information.
- Translate documents and communications, ensuring accuracy and clarity in both languages.
Legal Support:
- Provide general legal advice to the board on matters such as corporate law, compliance, and governance.
- Assist in reviewing contracts, policies, and other legal documents relevant to the board's responsibilities.
Administrative Support:
- Manage board member correspondence, schedules, and travel arrangements.
- Handle sensitive and confidential information with discretion and professionalism.
Requirements:
Education and Legal Background:
- Bachelor's degree in Law (LLB) or equivalent legal qualification.
- Familiarity with corporate governance principles, legal compliance, and regulatory requirements.
Experience:
- 3-5 years of relevant experience as an executive secretary, legal assistant, or similar role.
- Experience in handling board-level activities, such as drafting minutes and processing resolutions.
- Bilingual Skills:
- Fluency in Arabic & English with excellent written and verbal communication skills.
Other Skills:
- Strong organizational skills and attention to detail.
- Proficient in Microsoft Office Suite and board management software.
- Ability to work under pressure and meet strict deadlines.
Salary:
BHD 600 to 1,000 per month inclusive of fixed allowances.
