Job Description

The Inventory Clerk and Purchaser will be responsible for managing inventory levels, placing and managing orders, and ensuring smooth operations within our roastery. This role requires a blend of organizational skills, attention to detail, and effective communication to handle both inventory management and purchasing functions.

Responsibilities
  • Inventory Management:
  • Conduct daily inventory checks and reconcile discrepancies to maintain accurate records.
  • Update inventory management software or systems to reflect current stock levels and transactions.
  • Monitor inventory levels and initiate orders to replenish stock as necessary.
  • Identify slow-moving or obsolete inventory and recommend actions for disposal or clearance.
  • Conduct regular physical counts and audits to ensure inventory accuracy.
  • Ensure inventory storage areas are clean, organized, and secure.
  • Purchasing:
  • Source and evaluate suppliers for quality, pricing, and reliability.
  • Place and manage purchase orders for coffee beans, packaging materials, and other supplies.
  • Negotiate terms, prices, and delivery schedules with vendors.
  • Ensure timely delivery of goods and address any delays or issues with suppliers.
  • Maintain positive relationships with suppliers and resolve any procurement-related issues.
  • Assist in preparing budgets and forecasts for inventory levels and costs.
  • Coordination and Communication:
  • Coordinate with other departments to ensure the timely receipt and delivery of goods.
  • Communicate effectively with vendors and internal teams to manage inventory and procurement needs.
  • Prepare and review inventory and procurement reports for management, including stock levels, ordering trends, and financial summaries.
  • Administrative Support:
  • Handle administrative tasks related to purchasing and inventory management, including data entry, filing, and correspondence.
  • Process and file invoices, ensuring accurate documentation and accounting of purchases.

Requirements:

  • High school diploma or equivalent required.
  • Strong organizational and time management skills.
  • Keen attention to detail and accuracy in record-keeping.
  • Ability to work both independently and collaboratively within a team environment.
  • Proficiency in inventory management software or systems.
  • Basic math skills and the ability to perform calculations using computer programs.
  • Good communication skills for effective coordination with vendors and internal teams.
  • Ability to lift and move heavy objects and stand or walk for extended periods.
  • Flexibility to work occasional overtime or weekends as needed.
  • Prior experience in inventory management, purchasing, logistics, or a related field is preferred.
