Softje Technology Solutions is seeking a proactive and organized Administrative Assistant to support our team and ensure the smooth operation of our office. The Administrative Assistant will perform a variety of administrative tasks, including managing schedules, coordinating meetings, and handling correspondence. The ideal candidate will have excellent communication skills, attention to detail, and the ability to multitask effectively.
Responsibilities
- Manage calendars, schedules, and appointments for team members.
- Coordinate meetings, conferences, and events, including booking venues and arranging catering.
- Prepare and distribute correspondence, memos, reports, and presentations.
- Maintain office records and documentation, ensuring accuracy and confidentiality.
- Assist with project management tasks, including tracking deadlines and deliverables.
- Handle incoming calls, emails, and inquiries, directing them to the appropriate parties.
- Arrange travel arrangements and accommodations for team members.
- Assist with basic HR tasks, such as onboarding new employees and maintaining personnel records.
- Perform general office duties, such as filing, copying, and scanning documents.
Qualifications:
- High school diploma or equivalent.
- Proven experience as an administrative assistant or similar role.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Excellent communication and interpersonal skills.
- Strong organizational and multitasking abilities.
- Attention to detail and accuracy.
- Associate’s or Bachelor’s degree in Business Administration or related field.
- Experience with office management software (e.g., Microsoft SharePoint, Google Workspace).
- Previous experience in a technology or IT company.
- Knowledge of basic accounting principles.
