Job Description
Responsible for providing clerical, secretarial as well as administrative support to the Retail team while assisting administrative team to attend and solve any issue that may arise to ensure that the operations run smoothly.
Responsibilities
- Compiling and updating various daily reports, such as Rosters, KPI targets, and other retail related reports.
- Ordering of Stationery and supplies across the airport, keeping within budgeted P&L / Management accounts
- Daily filing of DE documents- sequential order/ensure data protection.
- On time archiving of documents as per SOP and attain to retrieval requests.
- Negotiating with new suppliers for better pricing and periodically reviewing existing supplier pricing (printers/stationeries/PPE/transport/training rooms etc).
- Coordinating and arranging regular services/AMC’s for counting machines/printers as required.
- Complete operational checks for all stores and take necessary corrective actions to comply with SOP.
- On time completion of material permits-Screens, chairs, NUC’s, cleaning equipment’s, etc. as required for business.
- Stock management / stock replenishment and banking to ensure we have adequate supplies at all stores.
- Liaising with Support functions.
- Handling office tasks, such as filing, generating reports and presentations.
- Manage New joiners on boarding process on time (uniform request/name badge/on boarding guide).
- Dictate, draft, and distribute minutes of the meetings.
- Work as part of the Admin, Operations and Retail team within Qatar.
- Support additional/adhoc tasks at request of Management.
- Report maintenance items to facilities team and raise maintenance requests.
- Ensuring the stores are clutter free and dispose unwanted items aligning with facilities Team.
Desired Candidate Profile
- English Language
- Minimum of 4+ years of experience in administration
- Efficient in documentation procedures
- Active problem solving and interpersonal skills
- Thorough knowledge of office methods, procedures and practices
- Fluency in using standard office software packages and internet research abilities
- Ability to learn, interpret independently, and apply a variety of company policies and procedures
- Ability to identify deviations from applicable policies
- Ability to track and compare data
- Excellent oral and written communication skills
- Be a team player
